Admission season means queues, photocopy shops and the same questions on every form. A clean student biodata saves you from writing the same details five times, and it makes the admission office's job easier, which never hurts.

Quick answer: a student biodata form for admission needs the student's name, father's or guardian's name, date of birth, B-Form number, guardian CNIC and contact, previous school, last class passed, board, roll number, marks or grade, address and an emergency contact. Keep it to one page, attach photos and attested copies, and make sure every detail matches the B-Form and result card.

What schools, colleges and hostels ask for

Whether it is a neighbourhood school, a government college or a university hostel, the list is nearly the same:

  • Student details: full name as on the B-Form, date of birth, gender, religion, nationality.
  • B-Form number: the child's NADRA registration number. Students 18 and over give their CNIC instead.
  • Father's or guardian's name and CNIC: the guardian is whoever signs and pays fees.
  • Previous school or college: name and city, and the last class passed.
  • Class applied for: for example Class 9 (Science group) or FSc Pre-Engineering.
  • Board and roll number: such as BISE Lahore, Federal Board (FBISE), BISE Multan.
  • Marks or grade: obtained marks out of total, or the grade for Cambridge students.
  • Guardian contact: mobile and WhatsApp, plus occupation if asked.
  • Emergency contact: a second adult, ideally in the same city.
  • Blood group: schools with sports and hostels like to have it on file.
  • Address: current and permanent, if different.

Hostels add a local guardian (a relative in the same city who can collect the student), any medical condition or allergy, and sometimes the student's own mobile number.

School vs college vs university

School admission (Nursery to Class 9)

The parent fills it. For young children the focus is on the B-Form, parents' details, previous school and any medical notes. For Class 9 admission, schools need the B-Form number for board registration, so check it twice.

College admission (FSc, FA, ICS, I.Com)

Colleges care about Matric marks, board and roll number, because merit lists are based on them. Add the group you want and a second choice if the college allows it.

University and hostel

Universities already have online portals, but departments, scholarship offices and hostels often ask for a printed biodata as well. Add your Intermediate result and any entry test score such as MDCAT or ECAT. For a Class 9 admission, the same layout works: put "Class 8 (2026), annual exam 512 / 600" in the marks row and write the school's name in place of the board, unless Class 8 was a board exam.

When the father is abroad or not alive

Many Pakistani students have a father working in Saudi Arabia, Dubai or the UK, or have lost a parent. The biodata should still give the school someone it can reach today.

  • Father abroad: write his name and CNIC as usual, but put the mother, an uncle or an elder brother in Pakistan as the guardian, with their relationship and a local mobile number. Add the father's WhatsApp number as a second contact if you like.
  • Father not alive: write "Late" before his name (Late Ali Raza) and give the mother or the relative who pays the fees as guardian, with their CNIC.
  • Orphan or fee concession: mention it on a separate line only if the institution offers a concession and asks for it; keep the certificate copy ready.

Always write the relationship next to the guardian's name (mother, maternal uncle, elder brother). It saves a phone call.

Documents to attach

  1. Photos: recent passport-size, plain background. Many institutions name the colour (often blue or white) in the prospectus. Name and class on the back.
  2. Attested copies: result card or DMC, B-Form or CNIC, and father's or guardian's CNIC. Get them attested by whoever the form names, usually a gazetted officer or the head of the previous institution.
  3. School leaving certificate and a character certificate from the previous school.
  4. Migration certificate if you are moving from one board to another, for example from BISE Rawalpindi to Federal Board.
  5. Domicile for government colleges and quota seats.

Make two sets of photocopies. One goes with the form; the other saves you a trip when a second office asks.

Tips that make the biodata easier to process

  • Copy names exactly from the B-Form. "Muhammad" and "Muhammed" are different names to a board clerk.
  • Write marks as obtained / total. "1,034 / 1,100" is clearer than "94%" alone, and merit is often calculated from the raw figure.
  • Give a number that is answered. Admission offices call during working hours, so put the parent who can pick up first.
  • Keep a soft copy. Scholarship forms, hostel forms and sports trials will all ask again.
  • Bilingual if parents prefer Urdu. The Urdu and bilingual biodata designs put English and Urdu labels side by side.

Frequently asked questions

What if the child does not have a B-Form yet?

Apply for one at NADRA as soon as possible, because board registration for Class 9 needs it. Most schools will take the birth certificate for now and ask for the B-Form number later.

Who fills a student biodata, the parent or the student?

For school admissions the parent or guardian usually fills it. College and university students fill their own, but still give a parent or guardian contact.

What if I am waiting for my result?

Write "Result awaited" in the marks column with the board and roll number. Many colleges accept this for provisional admission and ask for the result card later.

Can I send the student biodata on WhatsApp?

Yes, many schools and academies accept it on WhatsApp for a first look. Send it as a PDF document so it stays sharp, and still take a printed copy when you visit.

Is a student biodata the same as the admission form?

No. The admission form is the institution's own form. The biodata is a one-page summary you attach to it, or send on its own when a school or hostel asks for one.
